Training your scanning staff

Run a short practical training session before staff scan live QR codes.

Use this article to prepare staff who will verify QR codes and record student movement.

Before you start

  • Scanning staff accounts have been invited and accepted.
  • Check occasions are active.
  • A test parent or administrator can generate a QR code.

Steps

  1. Ask each staff member to sign in on the device they will use.
  2. Confirm the correct branch is selected.
  3. Open Scan QR and select the current check occasion.
  4. Scan a test QR code.
  5. Ask staff to read back the visitor name, role, and student names before confirming.
  6. Practice a failed scan scenario.
  7. Review when manual check-in is allowed.
  8. Review who to call for an exception or disputed pickup.
  9. Give staff the Daily scanning checklist and Exception log template.

Expected result

Staff can complete a normal scan, recognize unsafe exceptions, and escalate correctly.

Troubleshooting

  • If camera permission fails, check browser or device camera settings.
  • If the staff member cannot select a branch, verify their role assignment.
