What this article covers
Use this guide when deciding which role to assign to staff, families, and authorized pickup adults. These are school (tenant) roles used in the web portal and mobile app — not Ops platform roles.
Before you start
- You understand whether the person needs organization-wide, branch-only, or student-only access.
- You know whether they work at the gate, in the office, or as a family / pickup contact.
Staff and school roles

| Communication Office | Branch | Scan and view check events; create and send messages; create and publish calendar events; view bulletins and students. | Office or communications staff who publish notices for a campus. |
| Data Entry Support | Organization | Create and update students, enrollments, and parent/guardian invitations; view structure. No full admin or structure setup. | Back-office staff who enter student and family records. |

Family and pickup roles

| Guardian | Student | View the linked child, generate QR codes, and see relevant bulletins and calendar. Lighter access than Parent (messages and confirmations stay with the primary parent path). | Authorized caregivers who drop off or pick up regularly. |
| Driver | Student | Generate a QR code and see photos for assigned students only. No profile administration, bulletins, or messaging. | Authorized pickup or drop-off drivers. |
How to assign roles
- Staff (Administrator, Campus role, Communication Office, Data Entry Support, Auditor): invite from Users and Access → Invitations with the matching organization or branch role.
- Parent, Guardian, or Driver: open the student → People & roles → Send invitation (not an organization invitation).
- After acceptance, confirm the person sees the expected menus for their role.
- Remove or deactivate the assignment when access should end.
Expected result
Each person has the least access they need: school operators manage setup, gate staff scan, families and drivers handle check-in for their assigned students.
Exact menus can vary by plan entitlements. If a menu is missing, confirm both the role assignment and that your school plan includes that feature.
