Use this checklist before the first live SpurrCampus check-in day.
1. School structure
- Branches / campuses created
- Grades created
- Classes created and linked to the correct branch and grade
- Current academic year or school term created
- Optional locations created, if used by the School
2. Student records
- Student accounts created or imported
- Each student has an active enrollment
- Enrollment includes branch, academic year, grade, and class
- Student photos added, if used by the School
- Student tags added, if used for houses, groups, or communication targeting
3. Check-in setup
- Morning drop-off check occasion created
- Afternoon pickup check occasion created
- Check occasions are active
- Branch assignments checked
- Test QR generated
- Test scan completed
- Parent confirmation flow tested, if used
4. Users and access
- School administrators invited
- Backup administrator invited
- Scanning staff invited
- Scanning staff assigned to the correct branch
- Parent invitation plan confirmed
- Driver and guardian authorization process confirmed
5. Forms and consent
- Parent consent form reviewed and adapted
- Pickup authorization forms reviewed and adapted
- Driver authorization form reviewed and adapted
- Temporary pickup form reviewed and adapted
- School privacy notice reviewed and approved
- School procedure approved by leadership
6. Communication
- Parent rollout letter prepared
- Staff training notice sent
- Parent FAQs prepared
- Support contact identified
- Emergency communication procedure confirmed outside the digital system
7. Staff training
- Scanning staff trained on sign-in
- Scanning staff trained on branch and occasion selection
- Scanning staff trained on QR scanning
- Scanning staff trained on manual check-in rules
- Scanning staff trained on exceptions and escalation
- Exception log process confirmed
8. Go-live day
- Devices charged
- Network tested at scanning station
- Backup device available
- Administrator assigned to monitor check events
- Staff know who to call for exceptions
- End-of-day review scheduled
