# Parent Rollout Letter Template

**Subject:** Introducing our new digital school operations system

Dear Parent / Guardian,

We are introducing a digital school operations system to help us manage student information, parent communication, arrival, dismissal, check-in, check-out, pickup authorization, and related school processes more efficiently and safely.

## Why we are using the system

The system will help the School:

- Maintain current student and family records
- Communicate announcements and important notices
- Support arrival and dismissal workflows
- Verify authorized parents, guardians, drivers, and pickup persons
- Maintain check-in, check-out, confirmation, and attendance-related records

## What parents will need to do

You will receive an invitation by email. Please:

1. Open the invitation email.
2. Create your account using the same email address.
3. Confirm that your child appears in your account.
4. Review your contact information and notify the School if changes are needed.
5. Follow the School's instructions for check-in, check-out, and pickup authorization.

## Consent and student information

The School may enter and maintain your child's information in the system for school administration, safety, communication, arrival, dismissal, and related operational purposes. Please review and complete the consent form provided by the School.

## Student safety

The system supports our procedures, but it does not replace staff supervision, human verification, or School safety policies. Parents, guardians, drivers, and authorized pickup persons must follow the School's arrival and dismissal rules.
